JOB TITLE: SALES ADMINISTRATOR
General Summary and purpose:
The position calls for a vibrant, passionate, and dedicated sales administrator with extensive knowledge to administer and assist the sales team in selling the select brands of catering equipment distributed by Company.
CORE FUNCTIONS & RESPONSIBILITIES:
Details of primary duties
- Process sales quotations and sales orders.
- Check data accuracy in respect of quotes and orders.
- Process and track purchase orders.
- Liaise with current and new local suppliers.
- Completion of tender documentation.
- Updating of pricing in SAP.
- Contact clients to obtain missing information or answer queries.
- Liaise with the Logistics/Technical department to ensure timely deliveries.
- Maintain and update sales- and customer records.
- Communicate important feedback from customers internally.
- Scheduling installations daily with the technical department to assist with workflow.
- To retrieve the site readiness confirmation from customers before installation.
- Manage the paperwork and computer records efficiently, keeping transparent records of technical requirements for each machine sale and customer.
- Manage email correspondence received directly from customers.
- Follow the company’s standard operating procedures (i.e., payment terms, etc.).
- Answering phone calls.
REPORTING STRUCTURE:- Reports directly to the Catering Sales Manager.
QUALIFICATIONS/EXPERIENCE/ABILITIES:The ideal candidate will have/be:- Minimum of 8 - 10 years’ administrative experience within the industrial catering equipment industry.
- Able to interpret and quote directly from floor plans/drawings.
- Able to offer clients equipment solutions based on their specific requirements.
- An extensive knowledge of local suppliers and their offerings.
- Excellent verbal and written communication skills.
- Team player-attitude.
- Meticulous attention to detail, even under pressure.
- Proactive mindset.
- MS Office Suite experience (Word, Excel, etc.).
- SAP Business One experience.
- Good communication and interpersonal skills, capable of maintaining strong relationships.
- Strong organisational and multi-tasking skills.
- Excellent analytical and problem-solving abilities.
- Time management skills, with the ability to meet deadlines.
- Own and reliable transportation.
- Well-presented appearance.
- As the job holder will be required to deal with customers, they will be expected to represent the organisation positively.
HOURS OF WORK AND SALARY PACKAGE:- Working hours: 08h00 to 16h30 (Monday to Friday).
- Lunch: 30 minutes daily, as well as 2 fifteen-minute tea-/smoke breaks at 10h00 and 14h00 respectively.
- Basic Salary: R 36K – 38K negotiable (to be agreed and negotiated, depending on experience, etc.).
- Probation period: 3 months. Benefits listed below only effective after successful completion of the probation period.

- Pension fund: Contribution by the company of 5.5% and 2% by the employee.
- Life Insurance Cover: equivalent to 2 years annual salary.
